How to Connect Xero to Sumext

Requires: Xero admin access

Connecting Xero gives Sumext access to your contacts, chart of accounts, and tax rates, so every extracted invoice maps to the right accounts automatically.

Plan availability

All Sumext plans (Solo, Team, Firm) include access to Xero integration. You can only have one integration connected at a time per organisation.

Step 1: Go to Integrations

Sign in to app.sumext.com. In the left sidebar, click Integrations.

The Integrations page is available from every dashboard workspace, including firm-selected client workspaces.

Step 2: Select Xero

On the Integrations page, find the Xero card. Click Connect with Xero.

If you manage multiple clients, choose the client workspace first, then connect Xero for that client.

Step 3: Authorise Access

You'll be redirected to Xero's login page. Sign in with your Xero credentials.

Select the organisation you want to connect. Click Allow access.

Only connect the Xero organisation that matches the current Sumext workspace.

Step 4: Automatic Sync

You'll be redirected back to Sumext. In the background, Sumext automatically syncs:

  • All your Xero contacts (vendors)
  • Chart of accounts
  • Tax rates (GST, BAS Excluded, etc.)
  • Items / Products & Services

This usually takes 30-60 seconds depending on how many contacts you have.

Step 5: You're Ready

Once synced, go to Costs → Upload and upload your first invoice.

The vendor and account dropdowns in the Review tab will now show your real Xero data.

Frequently Asked Questions

Can I connect multiple Xero organisations?

Currently one Xero organisation per Sumext account. Multi-org support is on the roadmap.

What permissions does Sumext need?

Sumext requests read access to your contacts, accounts and tax rates, and write access to create bills and attach documents.

How do I disconnect Xero?

Go to Integrations -> Xero -> click Disconnect. This removes Sumext's access from your Xero account.

My connection failed. What do I do?

Email support@sumext.com with your organisation name and we'll resolve it within 24 hours.
